Villa Ventures’ Cancellation, Transfer & Refund Policy
Canceling a camp: 10% of the camp fee will be deducted from your refund if your cancellation is submitted by email to summer@thevilla.org
30 days before the first day of camp. Cancellations occurring within this 30 day time period (before the first day of camp) mean camp fees
are only transferable to another camp in Villa Ventures, 2023 but not refundable.
Villa Ventures must meet a minimum number of students per camp. If this is not met, you will be notified 30 days before the first day of
camp of any canceled camps. You can then request a transfer to another camp or receive a full refund.
Refunds are not issued for absences (due to illness, travel or quarantine). Please notify us before 9am to let us know of any absences at summer@thevilla.org
If Villa Ventures must close on-campus activities due to extreme weather or for the health and safety of students, instructors and staff,
Villa Ventures will cancel all activities and child care. Examples of on-campus closure include, but are not limited to, smoke, extreme
heat, or community quarantine due to an infectious disease. If Villa Ventures' camps are canceled for the reasons stated, we will work with
our partners to offer alternate solutions.
Sick Child Policy
On the advice of health experts and the licensing guidelines from the Department of Children, Youth, and Families, children with any of the following symptoms will NOT be permitted to attend or remain at Villa Ventures (we will call you):
- Fever of 100 degrees F or higher and also one or more of the following:
- Earache
- Diarrhea
- Showing signs of irritability or confusion
- Sore throat
- Rashes
- Vomiting two times or more within the past 24 hours
- Draining rash
- Eye discharge or pinkeye. Children can be readmitted after medical diagnosis to rule out bacterial infection or after 24 hours of antibiotic treatment and documentation from the physician
- Open or oozing sores, unless properly covered
- Lice or scabies
If Villa Ventures staff or the director has concerns about a child's ability to safely return to the program, we reserve the right to request a note from the child's health care provider.
We ask that ill children, as described above, not attend Villa Ventures, as they are unable to take an active part in our daily program, may expose others to illness, and are at risk for being exposed to other diseases or illness when their resistance is low.
Covid 19
Masks will be optional during Villa Ventures.
Campers who have been exposed to Covid-19 through a household member may continue to attend Villa Ventures as long as they are monitored closely for symptoms and are tested regularly. Wearing a mask after exposure is highly recommended.
Per the CDC recommendation, campers who test positive for Covid-19 must isolate for 5 days, with day 0 being either the day that symptoms begin or day of the positive test, whichever happens first. Following the 5-day isolation period, campers may return to camp if symptoms have improved and no fever has been detected for 24 hours, without the use of fever-reducing medications. Campers are encouraged to wear a mask through day 10 of infection while attending Villa Ventures.
Please use this WA Department of Health flowchart
to guide your decisions around Covid exposure and infection.
If your child tests positive for Covid-19 after attending Villa Ventures, please let us know at summer@thevilla.org so that we can monitor
community health and respond accordingly. Campers displaying symptoms of Covid-19 should not attend Villa Ventures (see the Sick Child
Policy). Should a student display symptoms during the day, we may ask that parents pick up their child early.
Behavior Expectations Policy
Summer at Villa Ventures is a fantastic experience and we use our Behavior Expectations to ensure we keep everyone safe and cared for, along
with our beautiful 31 acre campus. Children will be expected to follow these guidelines and will be supported in doing so by their camp
leaders. If at any time a child becomes unsafe to themselves or to others, we may remove them from the camp to give them a break for a
little while. Sometimes, home may be the best place for a break/reset. This is situation dependent and is always our last port of call.
BE SAFE: I will listen to and follow instructions given by the camp leader at all times.
BE RESPECTFUL: I will use my words kindly. I will keep my hands and feet to myself.
BE RESPONSIBLE: I will take care of myself i.e. drink water and go to the bathroom when I need to. I will take care of the
campus and clean up after myself i.e. pick-up trash
I understand the Villa Ventures’ Behavior Expectations and steps taken by Villa Ventures staff to support my child/children.
Medical Waiver Policy
I, the parent/guardian authorize that my child be given emergency treatment to include first aid and CPR by a qualified staff member. In
addition, I authorize and consent to medical, surgical, and hospital care treatment and procedures to be performed for my child by his/her
regular physician (or when that physician cannot be reached, by a licensed physician or hospital) when deemed immediately necessary or
advisable by the physician, to safeguard my child's health when I cannot be reached.
I also give permission for my child to be transported by ambulance or aid car to an emergency center for treatment. I waive my right to
consent to such treatment and/or transportation and agree to pay the cost of such emergency care and/or transportation. I release and agree
to hold Villa Academy harmless for any liability resulting from such emergency treatment and/or transportation.
I agree to provide all relevant medical/health information to Villa Ventures via forms: Allergy Emergency Health Care Plan, Emergency Asthma
Plan and Authorization for Administration of Oral Medication at Villa Ventures.
Late Fee Policy
We offer a 5 minute grace period for late pick-ups and thereafter we charge $5/minute. For example, this late fee would start at the end of
your child’s camp, 12:05, 3:05, or 4:05pm OR at the end of the after care at 5:05pm. This is a steep late fee and is applied to prevent late
pick-ups. We respect our staff and their personal time and so we make sure all children are collected on time.
I understand this policy will be applied to late pick-ups.
